Yes. It supports tax-registered clubs — UK VAT, GST or local sales tax — with configurable rates and reporting periods, raises member invoices (including recurring schedules) with your tax number and bank payment instructions, and posts the bookkeeping automatically. Each return can be saved and archived, so previous submissions stay viewable exactly as filed.

Yes. SquadRota uses AI to read uploaded PDFs — supplier invoices, bank statements, insurance and registration certificates — extracting suppliers, amounts, dates and account details, and proposing the entries for you to confirm.

Yes. Card payments are powered by Stripe and money settles in your own Stripe account, not ours. Members and external clients get a 'Pay by card' link on their invoices and statements and can pay online in a click; the invoice is then marked paid automatically. Card payments are available from the Club plan upwards.

Automatically. Stripe's processing fee is posted as its own expense so each invoice still reconciles in full. Stripe pays out to your bank in batches, and SquadRota matches each payout to the deposit on your bank statement — and a dedicated Stripe reconciliation view ties your clearing balance to your live Stripe balance. Refunds and chargebacks flow through too, correcting the ledger and reopening the invoice.

Members can be invited to log in to book assets, log usage, see their statements and pay, with role-based permissions controlling what each person can do. There's a mobile-first layout so they can do it from their phone.

Yes. Booking confirmations include a calendar invite (.ics) so a booking lands straight in Google, Apple or Outlook calendars, and every member can also subscribe to a live calendar feed of their club bookings.

Yes. On the Pro plan you can add capacity blocks — extra assets or members in fixed bundles — self-serve from your Subscription page. They're added to your subscription pro-rata and can be removed again at any time.

Yes. An in-app assistant answers how-to questions and questions about your own data (your balance, your bookings, what's due for maintenance), and can report a defect, make a booking or log usage on your say-so — including by voice, hands-free — with a confirmation step before anything is changed.

Yes — every paid plan comes with a 60-day free trial, and no card is required to start. You can stay on the free plan indefinitely, or pick a paid plan during or after the trial. Nothing is charged automatically.

Nothing is deleted. If you move to a smaller plan and you're over its limits, your most recently added assets or members are simply locked (kept safe and read-only) until you upgrade again or add a capacity block — your earliest records stay active.

Yes. SquadRota can import your existing book-keeping data — contacts, and opening balances — from QuickBooks, Sage, Xero or a CSV, so you can move across without starting from scratch.
